Regards Kim helps merchants manage customer support email. This policy explains what information we collect, how we use it, and how merchants can contact us with privacy questions.
What we collect
Depending on how a merchant uses Regards Kim, we may collect and process:
- Store details from Shopify, such as store domain, store name, timezone, currency, products, orders, fulfillment data, customer data, and legal policy URLs.
- Support inbox data from a connected email account, such as message content, sender and recipient addresses, message IDs, and thread history needed to organise support email and send merchant-approved replies.
- Merchant-provided configuration such as signature identity, signature, reply settings, policy URLs, processing times, refund windows, shipping times, return address, and exchange settings.
- Operational and diagnostic data such as usage counters, error logs, health events, and billing-related metadata.
How we use the information
- To connect the app to Shopify and the merchant's support inbox.
- To classify support emails, gather relevant order and policy context, help merchants write replies, and send replies that the merchant approves.
- To improve reliability, detect failures, prevent abuse, and support billing, security, and compliance workflows.
- To respond to merchant support requests and privacy inquiries.
Google user data
If a merchant connects Gmail, Google user data is used only to provide the app's requested functionality, such as reading support emails, syncing inbox state, helping prepare merchant-written responses, and sending replies that the merchant approves.
How long we keep data
We retain data only for as long as needed to provide the service, maintain security and reliability, meet legal obligations, and respond to valid deletion or compliance requests. Shopify privacy compliance webhooks are implemented for supported deletion workflows.
Sharing
We may use infrastructure and service providers that process data on our behalf in order to run Regards Kim, such as hosting, database, queueing, AI model, and email API providers. We do not sell merchant or customer personal data.
Security
We use technical and organizational measures intended to protect merchant and customer data. No method of storage or transmission is perfectly secure, but we work to limit access, secure credentials, and reduce unnecessary data exposure.
Your choices
- Merchants can disconnect Gmail and change app settings inside the app.
- Merchants can contact us to request deletion or ask privacy questions.
- Shopify privacy compliance webhooks are supported for customer and shop data requests where applicable.
